Overview
The client managed a large portfolio of concurrent construction projects through a mix of spreadsheets, email chains and manual status reports. Project managers lacked a single view of delivery health, and reporting to stakeholders was time-consuming and error-prone.
The Challenge
Project status was tracked in fragmented spreadsheets with no single source of truth. Producing portfolio reports required manual consolidation from multiple sources, taking hours each week. There was no automated alerting for milestones at risk, and leadership had limited visibility without waiting for the next reporting cycle.
Our Solution
Synapx designed a Power Apps canvas application for project managers to log milestones, risks and delivery updates in a structured Dataverse model. Power BI dashboards connected to this data source provide a live portfolio view with drill-through to individual project health.
Power Automate flows handle automated milestone notifications, escalation alerts for overdue items, and weekly summary digest emails to stakeholders — eliminating the manual reporting burden.
The Result
The PMO gained a single real-time view of the entire project portfolio, replacing the previous cycle of manual spreadsheet consolidation.
Automated alerts ensured at-risk milestones were surfaced immediately, allowing corrective action before deadlines were missed.
