Overview

The client approached Synapx for support with the Power Platform through a time-and-materials engagement. The project focused on centralising subscriber data management and streamlining processes, integrating three distinct mailing list forms into a unified database to enable efficient data capture and storage, while automating data ingestion and updates to reduce manual effort and enhance accuracy. Delivery was structured using Agile methodology, allowing flexibility and rapid iterations.

The Challenge

The Trust collected data through multiple form submission sources, including OCT Subscribers, the Blue Meadows Bulletin, and Schools Mailing. Without a centralised system for data ingestion, manual processes were both inefficient and a source of data inconsistency.

To improve the situation, it was crucial to focus on capturing only essential personal details while excluding non-essential fields, streamlining the data collection process and improving overall accuracy.

Our Solution

Synapx developed a centralised integration system for three Typeform-based mailing lists, automating the process of collecting data and updating the database. The integration captured key personal details such as First Name, Last Name, Email, Postal Code, and Email Consent, with multiple-choice responses included for the schools mailing list to enrich data collection.

Microsoft Power Automate was used to build automated workflows that connected Typeform with the Trust’s Raisers Edge CRM, eliminating manual data entry and reducing errors. Instead of someone downloading responses and updating records by hand, the system now updates automatically in real time, saving time and ensuring accuracy and consistency across all mailing lists.

The project was delivered in just 4.5 days by a lean team consisting of a Data Engineer, a Power Platform Tester, and a Project Manager, achieving a 34% saving compared to traditional approaches.

The Result

All forms now feed into one cohesive system, significantly enhancing efficiency, reducing manual effort and improving data accuracy. The solution is designed to be scalable, allowing for easy adaptation to future mailing lists as the charity’s needs grow.

The project was completed on time and within budget, demonstrating a commitment to meeting deadlines while maintaining financial discipline.
